Director of Office Administration – Mankato, MN

General Position Description

This position is responsible for the operational management of the firm and for guiding the business decisions of the firm to maximize efficiency, profitability and success of the organization.  The position reports to the partners and its duties generally include, among other things, identifying and planning for the changing needs of the firm, oversight of general financial responsibilities, personnel administration, facility, technology and office equipment oversight and vendor management, initiating and directing the implementation of polices as directed by the partnership related to the financial, operational and administrative aspects of the firm and establishing procedures necessary to ensure that all professional and administrative support activities run efficiently and effectively.

General Requirements:

  •  Maintain regular attendance during normal office hours, Monday through Friday.
    • This is a salaried, exempt position and work beyond 40 hours in a work week, including occasional evening or weekend hours may be required, but regular attendance between the hours of 8:00 a.m. and 5:00 p.m., Monday through Friday, is expected.
  • Regular lifting of up to 25 pounds, occasional lifting in excess of 25 pounds.
  • Effective written and oral communication skills.
  • Able to stand, sit, bend, lift, climb and squat.
  • Prepare written correspondence quickly, accurately and neatly.
  • Able to identify and analyze complex issues and problems in management areas and recommend and implement solutions.

 General Management:

  • Manage the day-to-day operations of both offices of the firm, set priorities, and utilize staff and facilities to maximize efficient performance.
  • Develop and administer operational and personnel policies and practices to ensure quality services.
  • Develop a positive firm professional work environment through effective communication of information between attorney and non-attorney staff.
  • Coordinate strategic planning process with partnership to identify and accomplish short- and long-term goals.
  • Schedule, attend and prepare minutes of office, partnership, marketing and other firm-committee meetings.
  • Coordinate office functions, seminars, holiday party, marketing events, etc.
  • Identify and arrange training for staff/attorneys as needed.
  • Regular physical presence in both firm offices (New Ulm and Mankato).

 Personnel Management:

  • Determine necessary staffing levels: Recruit, interview and make recommendations to personnel committee on hiring.
  • Provide orientation to new attorney and non-attorney staff.
  • Develop and administer office policies and procedures, including performance appraisals, disciplinary action and terminations.
  • Maintain confidential personnel information.
  • Maintain personnel records and data systems.
  • Supervise, counsel and promote morale among all non-attorney personnel.
  • Coordinate and schedule associate training plan dates and deadlines with supervisory attorneys.
  • Coordinate and lead staff meetings.
  • Administer benefits; Retirement Plan, Life and Health Insurance, workers compensation, etc., including enrollment and termination.
  • Discipline and discharge of non-lawyer personnel, in conjunction with and under the direction of the partners.
  • Accurately communicate information to attorneys and non-attorney staff as requested by partnership.

Financial Management:

  •  Prepare payroll for final approval.
  • Prepare attorney annual bonus memos.
  • Prepare quarterly payroll taxes.
  • Prepare and oversee preparation of all reports for annual meetings.
  • Prepare summaries for annual compensation committee meetings, participate in meetings as requested.

Practice Management:

  •  Monitor attorney CLE credit needs and advise attorneys of credit status, register and report attorney CLE courses as required.
  • Provide administrative support in recruitment of lawyers, scheduling interview dates, coordinating in-office interviews and preparing related correspondence.
  • Coordinate secretarial assistance when legal assistants are absent or on vacation.
  • Supervise File Clerk and coordinate file management.
  • Prepare, monitor and balance firm marketing
  • Schedule and attend regular marketing committee meetings.
  • Bring marketing requests to the attention of the marketing committee and circulate information to attorneys as directed by the marketing
  • Assist marketing committee with forecasting of business marketing
  • Calendar marketing functions and opportunities for all attorneys.
  • Act as liaison between marketing firm and marketing

Facilities Management:

  • Monitor and direct the purchase of all supplies, as needed.
  • Monitor facilities and equipment for necessary repairs or replacement, advise partnership of repair or replacement needs, coordinate obtaining bids and monitor repairs, as instructed.
  • Maintain control and disbursement of all office keys and parking passes.
  • Manage facility and equipment maintenance and repairs and vendor relationships, including office spaces, cleaning, telephone system, computer/servers, printers, copiers, etc.
  • Supervise file storage and follow retention policy in destroying files.
  • Maximize use of existing space and develop plans for long-term needs.
  • Prepare specifications for major purchases of capital equipment and operational needs.
  • Supervise office services to effectively support mission of firm.

 Information System Management:

  • Manage day-to-day operations of information systems and vendor relationships.
  • Identify and provide for training needs of attorney and non-attorney staff.
  • Maintain current knowledge of technological developments for information systems.
  • Provide basic information system troubleshooting and repair.
  • Maintain information storage and retrieval systems, document management systems and other systems management functions.

Equipment Management:

  •  Manage day-to-day equipment operations.
  • Recommend necessary purchases for operational needs.

QUALIFICATIONS

  •  4-year degree in business administration or management, finance, human resources, technology, marketing or comparable work experience preferred.
  • Valid driver’s license and insurability.
  • Excellent knowledge of information systems
